ServiceNow Import sets & transform maps

Bring sample data into the platform with a repeatable import process.

Understand the concept

An import set stages external data before a transform map maps it into a target table. Field maps connect source and target fields. Coalesce fields identify matching target records for updates; a missing match normally leads to an insert unless transform logic changes that behaviour.

A practical business example

A training administrator imports a small department list twice. An agreed unique department code should match existing records so the second import updates them rather than creating duplicates.

Step-by-step practice

Use a personal learning instance and suitable permissions. Record your starting configuration before changing it.

1. Prepare a small sample file with a stable unique key and load it into a staging table.
2. Create a transform map to a safe practice target table and review its field mappings.
3. Set coalesce on the agreed key. Check blank keys and duplicates before transforming.
4. Run the transform and inspect history and target records. Change one sample value, reload and confirm that the intended record updates.

Common mistakes and troubleshooting

Coalescing on a non-unique name can update an unintended record. Multiple coalesce fields form a combined match; review empty-value handling and test before a real import.

Does coalesce automatically remove existing duplicates?

No. It controls matching during transformation. Existing duplicate data needs separate analysis and cleanup.
